The daily round, one key each
Today’s Log is the screen the farm works from. Pick a shed with a flock in it and the flock is found for you. Then press M, F, W or S and type the number.
- One key each: M for mortality, F for feed, W for weight, S for a sale. Owners and managers also get E for an expense; everyone gets N for a note.
- Each death entry has a cause: natural, heat stress, disease, day one, accident, unknown or other. A count that looks too high gets a warning, not a block.
- Weight is the average of a weighed sample, with the lightest and heaviest bird, in grams.

- Missed a day? Pick it on the date strip and fill it in.
- Notes go on a flock, a shed or the whole farm, filed as observation, maintenance, health check, equipment or other.

Every flock against its breed target
Each shed has one flock at a time. The Overview puts them all on one screen, a row each: age, birds alive, deaths, weight and feed per bird against the breed target, and FCR.
- Birds alive is worked out from the chicks placed, the deaths and the birds sold. Nobody types it in.
- Ross 308 and Cobb 500 targets from the breeders’ 2022 tables, day 0 to day 56. Any other breed is kept, but has no target.
- FCR, EPEF and livability for every flock, and daily gain and uniformity from the weight samples. FCR is gain-based: the chick weight is taken out first.

- A flock can be planned ahead or placed now. The chick bill goes on the hatchery’s khata, minus what you paid.
- Feed cover tells you how many days the feed in store will last, from the last 7 days’ use.
- Owners and managers also see each flock’s cost to date, net and cost per kg, and its value at a rate per kg you type in.
- “Needs attention” warns about death spikes, low weight, a weight sample due, feed running out, low stock, sale age and overdue khata. No alert shows money.

Feed stock that counts itself down
When a worker records the feed for a shed, the same bags come out of the store. The stock you see is always worked out from the movements, never typed over.
- Four kinds of movement: bought, used (from the feed entries), adjusted and returned. Each one is kept.
- Stock and the average cost of each item are worked out from those movements.
- Feed, medication, vaccines, vitamins, equipment and supplies. A purchase can name its supplier.

- A purchase and its expense are saved together, so the store and the books always agree.
- Buy on credit: enter what you paid now, and the rest goes on the supplier’s khata.
- Each item has a minimum, and feed has its phase, from pre-starter to finisher. An item at its minimum shows under “Needs attention”.
- You set the bag size when you add an item, so 25 kg and 50 kg bags both count right.

Sales, expenses and the khata
Every sale and every payment lands in the right khata by itself. Balances are worked out from the entries, so there is no running total to keep by hand.
- Price a sale per kg of live weight, per bird, or as one total. Sell on credit to a buyer, or as a Spot sale paid in full.
- Each buyer’s khata shows what you will receive; each supplier’s shows what you have to pay.
- A payment pays off the charges you pick. If you pick none, it pays the oldest due first.

- Money in or out is recorded as cash, bank, JazzCash, Easypaisa, Raast or cheque.
- Every challan is marked Paid, Part paid or Due, and dues are aged 0–7, 8–30, 31–60 and 61+ days.
- A statement with the running balance for any buyer or supplier, to print or save as a PDF.
- Coming from paper? The owner starts each khata with its opening balance. Money paid ahead shows as an advance.
- Expenses by category, such as feed, medication, labour and utilities, tied to a flock or the farm and to who was paid. The chick cost is added when a flock is placed.

Challans, sent on WhatsApp
Make a delivery challan from the sale in one step. Print it, save it as a PDF, or open the buyer’s WhatsApp chat with the message already written.
- A challan is made from the sale, so the birds and the amount are never typed twice.
- Numbers run INV-2026-00001, INV-2026-00002 and on. Each shows Issued, Sent or Void; a wrong one is voided with a reason and reissued with a new number.
- WhatsApp uses your own number. The chat opens with the message written; you attach the PDF, send it, and press “Mark as sent”.

- Each PDF is named with the farm and the challan number, like Example-Farm-INV-2026-00048.pdf, and is never saved over.
- Khata reminders go the same way. A buyer’s shows the balance, how old it is and your payment details; a supplier’s asks them to confirm the balance.

Reports when a flock closes
When the last bird is sold, close the flock and its settlement is ready: sales, every cost, the net profit and the amount in words.
- The flock report has the settlement, the weights against the breed target, feed by phase, the costs, the sales and who still owes for the flock.
- Profit and loss for this month, last month, the last 30 days, this flock’s cycle, this year, all time or dates you pick.
- Compare flocks side by side: livability, first-week deaths, sale weight, FCR, EPEF, cost per kg and profit per bird, with the farm average.

- Profit and loss sets each cost group, such as feed and chicks, beside the usual share on Pakistani farms.
- Costs shared by the whole farm can be split by chicks placed, by bird-days, or not at all.
- The flock report, profit and loss and statements print or save as a PDF. Compare flocks prints.
- Partners and shareholders can check the farm read-only on their phone, in the partner view.

Workers record. Money stays with you.
Three roles decide who sees what. Workers record deaths, feed, weight and sales, and never see a rupee. Nothing is erased.
- Owner, Manager and Worker. Prices, balances and profit stay with the owner and the manager.
- Removed entries are kept, with who recorded them. The owner can restore them.
- An entry is never changed in place: a correction removes the old entry and records a new one.

- Amounts are shown the Pakistani way, Rs 4,12,500.00, and written in words with lakh and crore.
- The farm day runs on Pakistan time. The owner can pick another time zone in Farm settings.

The 23 was a miscount. It was removed and 25 was recorded. Both stay on record, and the owner can restore the 23.

Recorded on the farm PC, in sync when online
Poultry Ledger is a Windows app. Everything is recorded on the farm PC and keeps working when the internet is down. It backs itself up every day and updates itself.
- No internet is needed to record a day’s work, run a report or print a challan.
- Every day the app saves a backup copy on the PC and keeps the last 14. To restore one, message us.
- New versions download on their own and install the next time the app opens, never while you work.

- An Activation Code from us links the PC to your farm. It is optional: the app records with or without it.
- A linked PC copies every change to the farm’s cloud copy when it is online. Offline, changes wait on the PC and go when the internet is back.
- Each person signs in on the PC with their own name and password. After 14 days unused, they sign in again.
- The owner adds managers and workers and can reset their passwords. There is no online reset, so keep the owner’s password safe.
- When linked, the PC checks in with us every few hours. If our online services pause, recording carries on.
- For now, one PC keeps the farm’s records, so there is one set of books.
Recording works on this PC whether or not it is linked, online, or suspended.
